4. On the day
4-1. Your QR code
Open your trip from My trips. Under Your QR code:
Show this code to your guide when you meet. They scan it to start the tour.
- The code appears 6 hours before the tour starts. Before that the page says so, and there is nothing to do.
- Press Enlarge for a bigger version, and turn your screen brightness up so it scans on the first try.
- The code shows a Valid until time. If it stops working, reload the page and a fresh one appears.
If the page says the code appears once Kirarity confirms your booking, the payment has not been captured yet — check Chapter 2.
Scanning the code is what completes the tour. Please let your guide scan it when you meet, not at the end.
4-2. Meeting your guide
The trip page shows When, Meeting point and Guests. Meeting points are chosen to be easy to find — a station exit or a well-known landmark.
- Arrive a few minutes early. Kyoto stations get busy.
- Adding a photo in Settings (→ 1-3) makes it much easier for your guide to spot you.
- Your guide records their arrival at the meeting point in the app; your trip shows Guide has arrived.
Please do not pay your guide directly. You have already paid Kirarity for the tour. Costs you would pay for yourself anyway — train fares, entry tickets, lunch — are described in the plan.
4-3. If your guide is late
If the tour starts 30 minutes or more after the scheduled time, it is recorded as a delay and your guide explains why. You will get About today's delay by email, and the trip page shows:
This tour started {minutes} minutes later than scheduled. Your guide gave a reason for the delay, and we emailed you the details. Please let Kirarity know whether you accept it.
You will see the Reason given and a Note from your guide, and you can add a comment of your own.
- Accept — the matter is closed. "You accepted your guide's explanation. Nothing else is needed."
- Dispute — "Kirarity is reviewing this delay and will email you the outcome."
Please reply by the deadline shown (normally 72 hours). If we do not hear from you by then, the explanation is treated as accepted.
If you dispute, Kirarity decides and the outcome appears on the trip page:
| Outcome | Meaning |
|---|---|
| Kirarity accepted your guide's explanation. | No refund is due for the delay |
| Kirarity decided on a partial refund of {percent}% of what you paid. | The refund is sent to your card |
4-4. If you cannot make it
Tell Kirarity as early as you can. If you simply do not arrive:
- Your guide waits at the meeting point for at least 30 minutes after the start time and records their arrival.
- After that they can report that you did not turn up, and Kirarity reviews it.
- If it is confirmed, your trip is closed as Missed and no refund is due. You receive
Your booking was closed as a no-show.
If something genuinely unavoidable happened, contact Kirarity — we look at these case by case.
Cancelling in advance, even at short notice, is always better than not arriving: the refund scale in 3-2 still applies.
4-5. If your guide does not arrive
Wait at the meeting point and contact Kirarity. If your guide does not turn up, you are refunded in full with no fee deducted (→ 3-5).
4-6. Safety
- Follow your guide's advice about traffic, temple etiquette and photography rules.
- In an emergency in Japan, call 119 for ambulance and fire, 110 for police.
- Tell Kirarity about anything that went wrong as soon as you can — accidents, injuries, or behaviour that made you uncomfortable.
